Learn how to do a bulk import or export of users in/out of iNewsletter

Each publication in iNewsletter has its own subscription list. Sometimes, you may want to do a bulk import (such as at the start of the school year, to add new families and staff), or export everyone out of iNewsletter to update your own records.

Importing

Importing is done with a CSV file (similar to an Excel spreadsheet). It doesn't matter how the data is arranged in the CSV file, as you can choose which columns to import before the CSV file is uploaded. Any duplicate email addresses will be ignored, so it is safe to import the same list multiple times. Email addresses will not be added multiple times.

If your CSV file contains email addresses that have previously unsubscribed, they will remain unsubscribed. They will not be resubscribed unless they re-subscribe themselves or you manually re-subscribe them.


To import a CSV file

  1. On the Dashboard, click the Email Subscribers link on the left bar

  2. In the Options menu in the top right, choose Import from CSV

  3. Click the Select CSV button in the popup window that appears and find your CSV file

  4. You'll see a preview of about 10 rows from the CSV file. At the top of each column is a dropdown menu where you can choose what data is in that column. For example at the top of the column where email addresses are, you can select Email so the importer knows to import email addresses from that column. If your CSV file includes names, you can select First Name/Last Name/Full Name at the top of the relevant column to ensure names are imported

  5. Click Upload and the data will be imported. This takes about 10 - 15 seconds, and then you will see the results of the upload

Caveats

  • Email addresses must be valid and not contain any special characters. Each email address is validated before being added, and any which are not valid will be ignored.

  • You can separate multiple email addresses on the same row using the semicolon character. Some school management systems export parent email addresses with both the mother and father email addresses in the same row, separated by a semicolon. This will import normally into iNewsletter so you don't need to manually separate these onto separate rows.

  • An export of parent email addresses from Compass will automatically line up the columns for email address and name

Exporting

You can export a list of email addresses subscribed to iNewsletter if you want to. The list is exported as a 4 column CSV file: Email, Name (if set), Status and Source.

To export a list of subscribers

  1. On the Dashboard, click the Email Subscribers link on the left bar

  2. In the Options menu in the top right, choose Export to CSV

  3. A CSV file containing a list of subscribers will be downloaded to your computer
